They&#8217;re important, but they take up space, organizing them is time consuming, they can&#8217;t be easily searched, and they&#8217;re too often lost or destroyed. It’s not just paper documents: snapshots, videos, music, books, everything created before digital media can add to the problem.</p>
<p>New York Times writer Fahard Manjoo recently published an article titled <a href="http://www.nytimes.com/2012/01/12/garden/new-digital-conversion-devices-home-tech.html?_r=1">Everything Old is New Again</a>, in which he describes how he tackles converting old physical content into more portable, compact and durable digital versions. Manjoo tests devices and services, including ScanSnap, to create multiple conversion systems that work, makingthe process of transforming one’s old stuff into new, a painless process.</p>

<li>Odds of winning a prize are based on the number of eligible entries received. Winner notification: Winners will be notified by a public tweet from ScanSnap and a Direct Message on Twitter from ScanSnap, at which time a full shipping address and phone number will be required for fulfillment of the prize. Winners will have 15 days from notification to accept the prize by replying to the DM on Twitter. From that point, the winners will receive their prize via mail within 15 days of receipt of confirmation. Fujitsu is not responsible for late, lost, misdirected, or unsuccessful efforts to notify the winner. 			<content:encoded><![CDATA[<p>Like many people around the world, one of your New Year’s Resolutions probably included, “get more organized.” And more than likely, reducing paper clutter is a large part of this. The time and cost involved with handling and managing our paper clutter is enormous. In fact, according to <a href="http://www.gartner.com/technology/home.jsp">Gartner Group</a>, the average company spends $20 to file a document, $120 to find a misfiled document, and $220 to reproduce a lost document. Meanwhile, 7.5 percent of all documents get lost, 3 percent get misfiled, and the average professional spends 50% of their time looking for information.</p>
<p>While a good paper management system can definitely improve your chances of finding what you need when you need it, you still have the issues of printing costs, storage costs and maintenance. One solution that all business and home environments should consider is a paperless office.</p>
<p>While the task of creating a paperless environment may seem overwhelming, it doesn&#8217;t have to be:</p>
<ul>
<li>Automate as many forms, statements and processes as possible reducing the need to print the related paper and decreasing the amount of incoming paper you receive. Consider online fax services, electronic invoicing and statements, electronic signature programs, and online sharing and collaboration systems. </li>
<li>Nearly 80% of the paper you are storing is not even needed! Clean out your paper files to reduce the amount that will need to be scanned and stored electronically. Hold an office clean-out day (at home or work) or consider <a href="http://alifemadesimple.com/index.php/solutions/individual-coaching/productive-environment-day">Life Made Simple&#8217;s Productive Environment Day</a>.</li>
<li>Choose the right scanner for your needs. Consider how much scanning you will be doing, the types of information you will be scanning (documents, pictures, microfiche, books, etc.) and the ability to scan duplex. A must-have feature for moving towards paperless is OCR (optical character recognition) software. This will allow your documents to be searchable and editable when in electronic form. My favorite desktop scanners are Fujitsu’s <a href="http://www.buyfcpa.com/store/fujitsu/en_US/pd/productID.165716400/">ScanSnap S1500 </a>for PC or <a href="http://www.buyfcpa.com/store/fujitsu/en_US/pd/productID.122124400/">ScanSnap S1500M </a>for Mac.</li>
<li>Determine how you will store, organize and retrieve your documents. I am a big proponent of cloud-based systems. A good cloud-computing system will provide a secure, online location to store your documents, include a strong search feature so you can find what you need quickly, allow you to organize your information in different ways and have a simple sharing and collaboration feature.</li>
</ul>
<p>Most importantly, set a plan for working towards your paperless environment, and create the systems and habits needed to maintain it. The upfront effort will be worth many, many years of cost and time savings.</p>

			<content:encoded><![CDATA[<p>One prediction you won’t find in this article is for the paperless office, which was first predicted in a <a href="http://en.wikipedia.org/wiki/Paperless_office">Business Week</a> article in 1975.  36 years later that prediction remains elusive.  I will predict, however, that 2012 will be an exciting year for capture hardware and software that is moving us further toward a paper “less” office and home.</p>
<ul>
<li><em>It’s definitely a cloudy forecast.</em>  More and more individuals and organizations are looking for an alternative to on-premise storage for their digitized documents.  This is being driven by a need for shared access, disaster protection, and more predictable and manageable costs.</li>
</ul>
<ul>
<li><em>More cloud solutions.  </em>More and more of our software partners will respond to the cloudy forecast by adding cloud options to their offerings.  We’ll keep our <a href="http://scansnapcommunity.com/marketplace/">marketplace</a> updated with the latest offerings that make their way to the cloud.</li>
</ul>
<ul>
<li><em>Scan on the go.  </em>The need for mobile computing is impacting every aspect of IT, including capture.  Camera phones are not designed for capturing traditional document types and sizes. <li><em>Fujitsu will grow market share.  </em>Fujitsu’s commitment to document imaging will enable it to grow its market share beyond the current 60%.</li>

<li><em>Healthcare remains on top.  </em>Healthcare will again be the top vertical sector driving capture hardware and software sales.  In addition to regulatory guidelines such as HIPAA, healthcare is facing additional pressures including the potential loss of Medicare dollars for failure to improve healthcare administration and for not providing the highest quality patient care.</li>
</ul>
<ul>
<li><em>Rebound in financial services.  </em>Capture hardware and software will become increasingly important to banking and financial service organizations as they prepare to respond to new regulations and guidelines that will result from the recently signed Dodd-Frank, financial reform bill.</li>
</ul>
<ul>
<li><em>Capture sales soar.</em>  Capture sales will continue to outpace Enterprise Content Management (ECM).  My rationale is two-fold.  First, capture is the on-ramp to get critical information into ECM platforms including SharePoint.  Second, capture hardware and software deliver substantial and verifiable return on investment.</li>
</ul>
<ul>
<li><em>Fujitsu remains number one.</em> In 2012, Fujitsu will remain the market leader in both unit shipments and revenue.</li>
</ul>
