The Cure for Clutter
Friday, February 12, 2010Clutter is a disease. It destroys productivity.
A few years ago, my healthcare practice exhibited all the usual symptoms: desks blanketed in paper, folders accumulated in stacks, and long wait times for support staff to retrieve patient information.
But with a few small software and hardware additions, I found a way to alleviate the paperwork drag for existing patient records stored in cabinets as well as incoming postal mail.
Using the Fujitsu ScanSnap, the staff scanned and converted our paper files to PDF so we could store them in an easy-to-use and affordable document management system called M-Files from Motive Systems.
Together, these two technologies transformed our entire operation, providing my staff instant access to any piece of information in the practice and me with remote records retrieval so that I have access to patient data 24/7 from any computer, whether it’s in the office, at home, or in Cancun.
With ScanSnap, scanning becomes a fluid task throughout the day. It’s reliable, fast, folds up small, and immediately converts scans to searchable PDFs that I can index using key terms in M-Files software in just a few seconds. If I am talking with a patient I can quickly pull up any lab reports or other documents in M-Files on any computer in our office and we can review them together. Both my patients and I love that!
Now I scan all my paper, even items that might border on junk mail and end up as clutter, including invitations to meetings, notices, advertisements, etc. I scan everything and trash the originals. It no longer piles up.
We were also able to make more efficient use of our existing space and eliminate two large file cabinets and a desk, which allowed us to turn an office into an exam room. In the first year, this potentially saved us $24,000 in rent and $5,000.00 in moving costs. Now when you add in the extra revenue that the additional exam room will generate we start talking about some serious money. We are talking about another $50,000 a year in my pocket by the smart utilization of technology using M-Files and ScanSnap scanners.

Introducing the New Mobile ScanSnap S1300
Wednesday, February 10, 2010Customers who travel regularly for business or share devices between work and home computers need a mobile scanning experience that offers them easy operation, quality image processing and platform flexibility.
So today, the ScanSnap team is introducing the newest addition to Fujitsu’s portable ScanSnap product lineup – the ScanSnap S1300. It’s our next generation mobile multi-page scanner that comes with enhanced productivity features and added versatility, but provides the same easy-to-use one-button scanning and reliable operation as its predecessors.
ScanSnap S1300 is also the first ScanSnap scanner designed for full cross-platform functionality for PC and Mac. This means it’s optimized for operation with either computer, so whether it’s scanning contracts, receipts, bills, invoices, or business cards on the road or using a PC at one place and a Mac at another, the new S1300 provides users the tools to be even more productive and paperless anywhere, regardless of the computer they use.
Here are the new features that demonstrate how we’re providing even more scanning functionality and platform flexibility with this latest solution:
- Automatic Quality: When Auto is selected under Image Quality, ScanSnap increases the resolution on small documents (A6 or smaller), helping ensure the fine-print on small documents remains legible and searchable.
- Mark Text Function: Users can utilize a standard highlighter pen on a black & white document to automatically create searchable keywords of the highlighted text, such as an invoice number or last name.
- ABBYY FineReader for ScanSnap: ABBYY FineReader for ScanSnap allows users to be productive by quickly transforming their paperwork into editable Word and Excel files at the push of a button.
- Grayscale Support: In addition to automatically detecting color and monochrome, users can now scan images or text in grayscale. This is especially important for small images or text within business cards and small receipts that typically includes fine print.
- Long Document Support: Users are able to scan a document up to 34 inches long, allowing ScanSnap S1300 to support a wider range of documents, such as long grocery receipts or lengthy rental agreements.
ScanSnap S1300 also comes with software for PC and software for Mac so users who use both can optimize their ScanSnap for either platform with equal ease, making the scanner even more portable and versatile. In-box software includes: ScanSnap Organizer 4.1 (PC), CardMinder 4.1 (PC), Scan to Functions (Mac & PC), ScanSnap Manager (Mac & PC), and Cardiris 3.6 (Mac). More here.
