    ScanSnap S1500 allows operators to convert their scanned PDF files into searchable PDF files either immediately at the point of scanning or afterwards using the included OCR software such as Organizer or Adobe Acrobat.  However, some users may prefer to select only a few keywords within the PDF file that can then be searchable later.  Using a highlighter pen on a black and white document, operators can convert highlighted text into searchable keywords.  Watch this video to find out more…

  • Tips to Optimize Your Workspace for Productivity

    We all opt in to getting daily or weekly emails with helpful information, product recommendations or regular education updates on almost any subject.  One that I subscribe to and highly recommend is “Management Tip of the Day” from Harvard Business Review.   I find their emails insightful and timely.

    I recently received one that discussed “4 Tips to Optimize Your Workspace for Productivity.”   Here is an overview of what they suggested and our recommendations for how the ScanSnap can help.

    HBR suggests: Cut the Clutter. Get rid of the papers, extra hole-punch, books, and tchotchkes (this is my favorite word!). Be ruthless, throwing away the things you really don’t need and filing away the things you might need later.

    Our recommendation: Scan all of your papers into a meaningful Windows filing structure that you already use for your electronic documents or use the ScanSnap Organizer included with our device.   Finding your documents will be a breeze.

    HBR suggests: Keep frequent-use items close. If you don’t use your stapler every day, you don’t need it front and center. Reorganize so commonly used items are within reach and less-used items aren’t taking up valuable real estate.

    Our recommendation: Your ScanSnap scanner should be within arm’s reach to reduce the time it takes to get documents into your system.

    HBR suggests: Put related items together. Group items by task. Store your stamps with the envelopes and your file folders near the file cabinet.

    Our recommendation: If you prefer to scan documents at the same time, set up a folder or location on your desktop to put all documents that you need to scan.

    HBR suggests: Adjust as needed. After your initial reorganization, pay attention to recurring tasks that may require adjustments. If you start using your stapler daily, move it closer.

    Our recommendation: So if you start using your ScanSnap daily, move it closer!

In this video we’ll demonstrate a feature that allows operators to use a highlighter pen to crop sections out of a black and white document automatically. This is a function we call “rubberbanding” and it can be used to create editable contact lists and extract recipes from a photo copy or quotes from an article.
