Quick Tips: Scan to Email, Print, Folder

One of the things that makes ScanSnap so versatile is its ability to offer different direct forms of document distribution through the Quick Menu including Scan-to-Email, Scan-to-Folder (enables you route your image to any folder on your computer or network), or Scan-to-Print.

Let’s take a look at these simple “Scan-to” features in greater detail and you will see exactly how much easier scanning and archiving really can be with the ScanSnap.

Let’s start with Scan-to-Email. First, drop a document in the ScanSnap and press the ‘Scan’ button. This will initiate the Quick Menu. Within the quick menu you are given a variety of options, one of your choices is “Scan to Email.” When you click on that icon, another window opens.

*Please note – Quick Menu features vary depending on version that was bundled with your ScanSnap, not all of the functions in the Quick Menu (for example, Scan-to-Word) will be listed. However, all versions of the ScanSnap have Scan-to-Email, Scan-to-Folder and Scan-to-Print.

This window allows you to preview the scanned document, name it, save the scanned image to your system and even add a password to sensitive documents. After you check the image to ensure that it’s what you want to send, click ‘attach’. This will open a new mail message in your email program with the PDF document automatically attached and ready to send.

*Please note – Keep in mind, Scan-to-Email works with the local email client: Microsoft Outlook, Lotus Notes, Eudora. It does not work directly with web-based email systems like Hotmail and Gmail. If web-based email is the preference, you’ll need to attach the PDF manually to a new email.

scan2folderNow, moving on to scanning a document to a folder, follow the same procedure – place another document in the ScanSnap, press ‘scan’ and the Quick Menu will open again – click the “Scan-to-Folder” icon.  Once you’ve previewed the document, named it, you can select “browse” to locate a specific folder on your local hard drive or even to various places on your network you want to save the document to. After you save the PDF, you can also send the path of where the document resides in an email to another person for viewing by clicking, “state a path to the destination folder in an email message.”

scan2printFinally, when paired with a printer, the ScanSnap can act like a copier. Once you’ve loaded and scanned your document and selected the “Scan-to-Print” icon, you can then automatically send your scanned document to a printer.  Essentially, ScanSnap is making copies of the original document while printing a hard copy. Select the “keep data used for printing as files” option to store the scanned image as a PDF on your system.

This is just a snapshot of the many Quick Menu options that enhance the capabilities of the ScanSnap.
